Application Overview

The eCMS Accounts Receivable (A/R) application maintains current, accurate and properly aged balances. Data is entered, then edited and distributed to Accounts Receivable, General Ledger, Job Cost, and customer history files. The latest accounts receivable information is always available through online inquiries, and with the included eForms application invoices, can be tailored to your customers’ needs.

Accounts Receivable Benefits

Improved Cash Flow
Transactions can be entered for contracts, credit memos and miscellaneous sales, and then configured to affect multiple sales and A/R general ledger accounts. The system applies cash receipts to specific customer invoices and can be entered prior to approval and entry of an invoice. Cash receipt transactions that do not affect accounts receivable can also be entered. Cash receipts can be linked to subcontracts to automate the “Pay When Paid” feature.

Simplified Billing Entry
The Contract Progress Billing option provides an easy method for entering and reviewing progress billing information. Progress billing allows the entry of dollars, percentages, or quantities put in place, as well as stored materials. Quantity billings can be automatically generated, based on the approved installed quantities.

Enhanced Management Reports
Timely management reports assist in controlling receivables. The Aged Trial Balance Report lists outstanding receivables, aged by user selected periods. Online customer and credit inquiries assist in collecting receivables and reviewing customer information. Customer inquiries can be made by customer number, name, street address, telephone number, or zip code.

Managed Contract Accounting
Contract accounting helps control receivables by tracking contract billings and receipts, as well as retention and change orders. As a job progresses, retention is tracked and calculated as a percentage by job or contract item. Retention can be released at any time during the contract or in total when the contract is completed. The Contract Status Report shows all transactions for each job and may be printed in either a summary or a detail format. Change orders, billings, receipts, retention amounts, contract balances, dates billed, and dates paid are also reflected in available reports.

Credit and Collections Support
Open balance, payment history and collection comments are available, through inquiry, to help monitor and control collections. Collection call comments can be entered for a particular invoice as well as being attached at the customer level. Statements are available to be sent to your customers to assist in collections.

Real Time Tracking and History
To help monitor receivables, the system keeps a record of all transactions posted to accounts receivable. The historical information can then be accessed online or in report form. Audit trails are provided through the use of history reports, as well as sales and cash receipt journals.
